BOOKING & CANCELLATION POLICY

VANTA QUAY

Operated by AAGAZ Group Pty Ltd

Unit 41/15 The Palladio, Mandurah WA 6210

Effective date: 5 October 2026

We want booking at Vanta Quay to be straightforward and fair. This policy explains how restaurant reservations, changes, cancellations, late arrivals, no-shows, deposits and group or function bookings are handled. Any specific conditions shown to you when making a booking form part of this policy.

1. Making a booking

A reservation is confirmed only when Vanta Quay, or an authorised booking provider acting for us, confirms the booking.

Please provide accurate contact details and booking information. We may contact you by telephone, SMS or email about your reservation, including to confirm details or advise of an operational change.

Walk-ins are welcome subject to table availability, venue capacity and operational requirements.

2. Table allocation and availability

Specific tables, views or seating areas may be requested but are not guaranteed unless Vanta Quay expressly confirms otherwise. We may allocate or change tables where reasonably necessary due to group size, accessibility, weather, venue configuration, licensed-area restrictions, safety or operational requirements.

Vanta Quay's current liquor licence permits a maximum of 150 persons on the licensed premises at any one time. Accordingly, entry and seating remain subject to lawful venue capacity.

3. Changes to your booking

If you need to change the date, time or number of guests, please contact us as early as possible.

We will try to accommodate changes, but changes are subject to availability and cannot be guaranteed. A significant increase in party size may require a different table, seating arrangement, menu, deposit or group-booking arrangement.

4. Cancellations

If you can no longer attend, please cancel your reservation as early as possible so the table can be offered to another guest.

For ordinary restaurant reservations where no deposit, pre-authorisation or cancellation charge was disclosed when booking, Vanta Quay will not impose a cancellation charge that was not previously disclosed to you.

If a particular booking requires a deposit, card pre-authorisation, minimum spend or cancellation/no-show charge, the applicable amount and cancellation conditions will be disclosed before or when you confirm that booking.

5. Late arrivals

If you are running late, please contact us as soon as possible.

We will make reasonable efforts to hold your table, but during busy periods we cannot guarantee that a table will remain available indefinitely after the booked time. If a late arrival materially affects later reservations or service, we may need to adjust the table, dining time or seating arrangement.

We will take reasonable circumstances into account before treating a late booking as a no-show.

6. No-shows

A booking may be treated as a no-show where the party does not attend and has not contacted Vanta Quay within a reasonable period after the booked time.

Where a no-show fee, deposit forfeiture or card charge applies to a particular booking, it will only be applied in accordance with conditions disclosed to you when the booking was made and subject to applicable law.

7. Deposits and pre-authorisations

Some large-group, special-event, peak-period or function bookings may require a deposit or card pre-authorisation.

Where a deposit or pre-authorisation is required, Vanta Quay will advise you of the amount, due date and applicable cancellation or refund conditions before the booking is finalised.

A card pre-authorisation is not necessarily a charge. Depending on the payment provider and your financial institution, a temporary hold may appear on available funds.

8. Large groups

Large-group bookings may be subject to additional conditions, including a deposit, set menu, minimum spend, limited seating duration, final guest-number deadline or other reasonable arrangements.

Any additional conditions applying to your group will be communicated before or as part of confirming the booking.

If final numbers decrease after an agreed deadline, any financial consequence will be governed by the specific group-booking terms provided to you.

9. Functions and private events

Function enquiries are not confirmed bookings. A function or private event is confirmed only after Vanta Quay expressly confirms it and any required agreement, deposit or other stated requirement has been completed.

Functions may have separate terms covering deposits, cancellation dates, minimum spends, menus, beverages, guest numbers, room or area allocation, setup, external suppliers and damage. Where separate written function terms apply, those terms take precedence for that event.

10. Special events and peak periods

Special events, public holidays and peak periods may have specific booking conditions, menus, deposits, minimum spends or cancellation deadlines. These conditions will be disclosed for the relevant booking.

Any applicable public-holiday or other permitted surcharge will be disclosed in accordance with applicable pricing laws.

11. Weather and outdoor seating

Outdoor or alfresco seating is subject to weather, safety, licensing and operational conditions. If weather or another condition makes an outdoor area unsuitable, we will try to relocate the booking where reasonably possible, but an alternative table cannot always be guaranteed.

We may alter or close an outdoor area where reasonably necessary for safety, legal compliance or venue operations.

12. Allergies, dietary and accessibility requests

Please tell us about dietary requirements, allergies or accessibility needs when booking and speak directly with staff on arrival, particularly for serious allergies.

We will make reasonable efforts to accommodate requests, but a request entered with a booking does not guarantee that a particular dietary, allergy, seating or accessibility requirement can be met. For serious allergies, booking notes should not be relied upon as the sole notification to the venue.

13. Alcohol service

Vanta Quay is a licensed restaurant. Alcohol service is subject to Western Australian liquor laws, responsible service requirements and the conditions of our Restaurant Licence.

Under our current licence, liquor is supplied for consumption on the licensed premises ancillary to a meal supplied by Vanta Quay and eaten on the licensed premises. A restaurant reservation does not guarantee alcohol service where service would be contrary to law, responsible service requirements or licence conditions.

14. Changes or cancellation by Vanta Quay

Occasionally, circumstances such as equipment failure, utility interruption, emergency, unsafe weather, licensing requirements, government direction or another event outside our reasonable control may require us to change or cancel a booking.

If we need to cancel a confirmed booking, we will make reasonable efforts to contact you promptly. Where Vanta Quay has received a deposit or other payment for a service that we cancel and cannot reasonably provide, we will provide the remedy required by applicable law and the relevant booking terms.

15. Refunds and consumer rights

Nothing in this policy excludes, restricts or modifies any consumer guarantee, right or remedy that cannot lawfully be excluded under the Australian Consumer Law.

Any refund, credit, deposit retention or cancellation charge will be handled consistently with the conditions disclosed for the booking and applicable law.

16. Privacy

Information provided when making or managing a booking is handled in accordance with the Vanta Quay Privacy Policy. We may use your contact details to administer the reservation and send necessary service-related communications.
